These are<\/span><span style=\"font-weight: 400;\">\u00a0all guidelines, tips and tricks that work for me, and not rules or laws.<\/span><\/p>\n<p style=\"text-align: left;\"><span style=\"font-weight: 400;\">You\u2019ll probably recognize a lot and are already doing it, and hopefully you&#8217;ll find the article helpful.<\/span><\/p>\n<p>&nbsp;<\/p>\n<hr \/>\n<h2><\/h2>\n<h2 style=\"text-align: left;\"><span style=\"font-weight: 400;\">Writing clearly for users who need to get stuff done<\/span><\/h2>\n<p style=\"text-align: left;\"><span style=\"font-weight: 400;\">A lot of my work is writing for a government agency in Israel that creates mountains of information, that users need to get government services. <\/span><\/p>\n<p style=\"text-align: left;\"><span style=\"font-weight: 400;\">Most of what I write is first written by someone else in Hebrew, and then I translate it to English.<\/span><\/p>\n<p style=\"text-align: left;\"><span style=\"font-weight: 400;\">Therefore, 99 times out of 100 (literally) I improve on the UX content writing, often entirely re-writing a page.<\/span><\/p>\n<p style=\"text-align: left;\"><span style=\"font-weight: 400;\">Over the years, I\u2019ve become an expert in writing content for government service providers. <\/span><\/p>\n<p>&nbsp;<\/p>\n<h4>Always know your users<\/h4>\n<p style=\"text-align: left;\"><span style=\"font-weight: 400;\">It\u2019s crucial that I understand, that my users are a captive audience. They have no choice about the services that they need and they have to act on the information that they are given. <\/span><\/p>\n<p style=\"text-align: left;\"><span style=\"font-weight: 400;\">When someone needs a passport, they have to <\/span><b>do<\/b><span style=\"font-weight: 400;\"> something about it, and there really is only one way to get it.\u00a0<\/span><span style=\"font-weight: 400;\">They must use the information provided to get services from the government.<\/span><\/p>\n<p style=\"text-align: left;\"><span style=\"font-weight: 400;\">The only other option is to call the service provider (no one wants to actually talk to the government), and see if they can get some clear answers \u00a0&#8211; Good luck!<\/span><\/p>\n<p style=\"text-align: left;\"><span style=\"font-weight: 400;\">If they have to do that, the content isn\u2019t clear enough and I haven\u2019t done my job well. <\/span><\/p>\n<h4><\/h4>\n<p>&nbsp;<\/p>\n<h4 style=\"text-align: left;\">What I write affects users in a very real way, and that\u2019s a big responsibility.<\/h4>\n<p>&nbsp;<\/p>\n<hr \/>\n<h2><\/h2>\n<h2 style=\"text-align: left;\"><span style=\"font-weight: 400;\">How to write clearly for users who need to get stuff done<\/span><\/h2>\n<p style=\"text-align: left;\"><span style=\"font-weight: 400;\">First off, I\u2019ve already defined a basic need. \u201cGetting stuff done\u201d. The user is there for one reason only &#8211; to take a specific action &#8211; and they&#8217;re busy, so they appreciate it if things are simple and clear.\u00a0<\/span><\/p>\n<p>&nbsp;<\/p>\n<p><img class=\"aligncenter wp-image-575\" src=\"https:\/\/uxwritinghub.com\/wp-content\/uploads\/2019\/01\/busybusybusy2-300x135.png\" alt=\"\" width=\"650\" height=\"292\" srcset=\"https:\/\/uxwritinghub.com\/wp-content\/uploads\/2019\/01\/busybusybusy2-300x135.png 300w, https:\/\/uxwritinghub.com\/wp-content\/uploads\/2019\/01\/busybusybusy2-768x345.png 768w, https:\/\/uxwritinghub.com\/wp-content\/uploads\/2019\/01\/busybusybusy2-1024x460.png 1024w, https:\/\/uxwritinghub.com\/wp-content\/uploads\/2019\/01\/busybusybusy2.png 1650w\" sizes=\"(max-width: 650px) 100vw, 650px\" \/><\/p>\n<p>&nbsp;<\/p>\n<p style=\"text-align: left;\"><span style=\"font-weight: 400;\">Busy users* don\u2019t need or care about:<\/span><\/p>\n<ul style=\"text-align: left;\">\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">All the <strong>superfluous crap<\/strong>, i.e, anything that isn\u2019t really, really relevant (for them to take action), like, historical reasons behind the process.<\/span><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\"><strong>Who<\/strong> is giving them what they need (unless it\u2019s critical to understand the process).<\/span><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Internal <strong>jargon<\/strong> &#8211; Jargon is the enemy!<\/span><\/li>\n<li style=\"font-weight: 400;\"><strong>Long winded prose.<\/strong><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\"><strong>Laws, statutes, procedures<\/strong> etc. Especially if written in legal-speak-lingo-jargon.<\/span><\/li>\n<\/ul>\n<p style=\"text-align: left;\"><span style=\"font-weight: 400;\">Any of this that absolutely must be in there, should be in a chapter or area that is lower down on the importance hierarchy, and gets less focus on the page (UI).<\/span><\/p>\n<p>*Being busy is the default state for users, as far as UX writing is concerned.<\/p>\n<h2><\/h2>\n<h2><\/h2>\n<h2 style=\"text-align: left;\"><span style=\"font-weight: 400;\">What users care about and need<\/span><\/h2>\n<h4>&#8230;(to get things done)<\/h4>\n<p style=\"text-align: left;\"><span style=\"font-weight: 400;\">This a list I use.<\/span><\/p>\n<p style=\"text-align: left;\"><span style=\"font-weight: 400;\">It works for me.<\/span><\/p>\n<p style=\"text-align: left;\"><span style=\"font-weight: 400;\">You could probably add or take things off the list, but it\u2019s a great place to start (lists are great!). The first list item is for me, not my users.<\/span><\/p>\n<p>&nbsp;<\/p>\n<ol style=\"text-align: left;\">\n<li style=\"font-weight: 400;\">\n<h3><span style=\"font-weight: 400;\">Make sure you understand what you are writing.<\/span><\/h3>\n<\/li>\n<li style=\"font-weight: 400;\">\n<h3><span style=\"font-weight: 400;\">Specific relevant information &#8211; less is more (to a point)<\/span><\/h3>\n<\/li>\n<li style=\"font-weight: 400;\">\n<h3><span style=\"font-weight: 400;\">Easy to digest, bite-sized chunks of information<\/span><\/h3>\n<\/li>\n<li style=\"font-weight: 400;\">\n<h3><span style=\"font-weight: 400;\">Scannable information<\/span><\/h3>\n<\/li>\n<li style=\"font-weight: 400;\">\n<h3><span style=\"font-weight: 400;\">Clear hierarchy of information<\/span><\/h3>\n<\/li>\n<li style=\"font-weight: 400;\">\n<h3><span style=\"font-weight: 400;\">Simple, clear language &#8211; Kill the Jargon!!!<\/span><\/h3>\n<\/li>\n<li style=\"font-weight: 400;\">\n<h3><span style=\"font-weight: 400;\">Direct language &#8211; Don\u2019t talk about something, talk to someone<\/span><\/h3>\n<\/li>\n<li style=\"font-weight: 400;\">\n<h3><span style=\"font-weight: 400;\">Links to more information that is beyond the scope of the page<\/span><\/h3>\n<\/li>\n<li style=\"font-weight: 400;\">\n<h3><span style=\"font-weight: 400;\">Consistency (not uniformity)<\/span><\/h3>\n<\/li>\n<\/ol>\n<h2><\/h2>\n<p>&nbsp;<\/p>\n<h2><span style=\"font-weight: 400;\">1.Make sure you understand what you are writing<\/span><\/h2>\n<p style=\"text-align: left;\"><span style=\"font-weight: 400;\">This sounds trivial, but it\u2019s anything but that. If you don&#8217;t understand what you are writing, your user won&#8217;t either.<\/span><\/p>\n<p style=\"text-align: left;\"><span style=\"font-weight: 400;\">My job is to take the Hebrew and translate it to English, but most of the Hebrew is written by civil servants who don\u2019t know how to write (Sometimes, I\u2019m working from documents that could have been written 30 years ago!).<\/span><\/p>\n<p style=\"text-align: left;\"><span style=\"font-weight: 400;\">They haven\u2019t a clue about service writing, and may have heard of UX but think its synonymous with graphic design.<\/span><\/p>\n<p style=\"text-align: left;\"><span style=\"font-weight: 400;\">It\u2019s not their fault, and some of them do a great job, but mainly, the content isn\u2019t good enough. Hopefully, they\u2019ll all take a UX content writing course, and start to understand how its done.<\/span><\/p>\n<p style=\"text-align: left;\"><span style=\"font-weight: 400;\">Because I have to first translate the content, I have to <\/span><b>read the content very, very carefully and understand it completely<\/b><span style=\"font-weight: 400;\">. Specific relevant information<\/span><\/h2>\n<h3 style=\"text-align: left;\"><span style=\"font-weight: 400;\">Less is more (to a point)<\/span><\/h3>\n<p style=\"text-align: left;\"><span style=\"font-weight: 400;\">No one really reads online. Well, that&#8217;s not completely true &#8211; But not if they want to get something done. <\/span><\/p>\n<p style=\"text-align: left;\"><span style=\"font-weight: 400;\">I go through guides on how to do stuff in photoshop or other programs, or on my phone at lightning speed.\u00a0\u00a0<\/span><span style=\"font-weight: 400;\">I am scanning for specific relevant information to get what I want done. So are my users.<\/span><\/p>\n<p style=\"text-align: left;\"><span style=\"font-weight: 400;\">This means I need to write <\/span><b><i>short, uncomplicated sentences<\/i><\/b><span style=\"font-weight: 400;\">, and if necessary, short paragraphs. I try to keep them up to 3 sentences at most.<\/span><\/p>\n<p style=\"text-align: left;\"><span style=\"font-weight: 400;\">Having said this, it\u2019s really important to remember:<\/span><\/p>\n<h4 style=\"text-align: left;\">Keeping things concise is a tool not an ideology.<\/h4>\n<p>&nbsp;<\/p>\n<p style=\"text-align: left;\"><span style=\"font-weight: 400;\">Recently, someone developing an online form said to me, \u201cUX is about minimalism\u201d. <\/span><\/p>\n<p style=\"text-align: left;\"><span style=\"font-weight: 400;\">I don\u2019t agree.<\/span><\/p>\n<p style=\"text-align: left;\"><span style=\"font-weight: 400;\">UX is about creating the right experience for your user. Minimalism is a tool. It\u2019s a UX designer\u2019s job to understand (and test) if minimalism is the right approach for the experience they are designing.<\/span><\/p>\n<p style=\"text-align: left;\"><span style=\"font-weight: 400;\">The same goes for being concise.<\/span><\/p>\n<p>&nbsp;<\/p>\n<h4 style=\"text-align: left;\">Don\u2019t sacrifice clarity just to make something shorter.<\/h4>\n<p>&nbsp;<\/p>\n<p><img class=\"aligncenter wp-image-592\" src=\"https:\/\/uxwritinghub.com\/wp-content\/uploads\/2019\/01\/concise-300x217.png\" alt=\"\" width=\"450\" height=\"326\" srcset=\"https:\/\/uxwritinghub.com\/wp-content\/uploads\/2019\/01\/concise-300x217.png 300w, https:\/\/uxwritinghub.com\/wp-content\/uploads\/2019\/01\/concise-768x556.png 768w, https:\/\/uxwritinghub.com\/wp-content\/uploads\/2019\/01\/concise-1024x741.png 1024w, https:\/\/uxwritinghub.com\/wp-content\/uploads\/2019\/01\/concise.png 1369w\" sizes=\"(max-width: 450px) 100vw, 450px\" \/><\/p>\n<p>&nbsp;<\/p>\n<p style=\"text-align: left;\"><strong>I could abbreviate that to \u201cDon\u2019t sacrifice clarity\u201d.<\/strong><\/p>\n<h3><\/h3>\n<h3 style=\"text-align: left;\"><span style=\"font-weight: 400;\">What is specific information<\/span><\/h3>\n<p style=\"text-align: left;\"><span style=\"font-weight: 400;\">Here\u2019s what usually goes into the services I write:<\/span><\/p>\n<ul style=\"text-align: left;\">\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Who is it for &#8211; e.g, Who can apply<\/span><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">What do they need &#8211; like, documents, forms, etc. If they can\u2019t get what they need without their ID card, you need to tell them that.<\/span><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">What is the action &#8211; Application, Claim, Payment etc.<\/span><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">How much does it cost<\/span><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">How to apply &#8211; A list of steps<\/span><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Relevant background information (Only if relevant. Only if necessary or at least, very helpful).<\/span><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Contact info<\/span><\/li>\n<\/ul>\n<p>&nbsp;<\/p>\n<p style=\"text-align: left;\"><span style=\"font-weight: 400;\">For my users, this is all the specific information they need. Once you have defined your \u201cbits of specific relevant information\u201d, you basically have your sub-titles or headings that you can turn into bite-sized, digestible chunks of information.<\/span><\/p>\n<p style=\"text-align: left;\"><span style=\"font-weight: 400;\">When you plan your guide, instructions service, blog&#8230;whatever, creating a list of what needs to go in is helpful. The list might change as you progress. That\u2019s ok. (Lists rock! &#8211; I may have said that already).<br \/>\n<\/span><\/p>\n<p>&nbsp;<\/p>\n<p style=\"text-align: left;\"><span style=\"font-weight: 400;\">Of course, you also have to be specific within those categories too. Being specific is both a way to organize information and a way to avoid ambiguity<\/span><\/p>\n<p style=\"text-align: left;\"><span style=\"font-weight: 400;\">I once had to publish a very \u201cun-specific\u201d piece of information, (and I still can\u2019t believe it):<\/span><\/p>\n<p style=\"text-align: left;\"><span style=\"font-weight: 400;\">\u201cYou must appeal within <\/span><b>72 work hours<\/b><span style=\"font-weight: 400;\">\u201d<\/span><\/p>\n<p>&nbsp;<\/p>\n<p><img class=\"aligncenter size-medium wp-image-508\" src=\"https:\/\/uxwritinghub.com\/wp-content\/uploads\/2019\/01\/confused-3082831_960_720-300x200.jpg\" alt=\"\" width=\"300\" height=\"200\" srcset=\"https:\/\/uxwritinghub.com\/wp-content\/uploads\/2019\/01\/confused-3082831_960_720-300x200.jpg 300w, https:\/\/uxwritinghub.com\/wp-content\/uploads\/2019\/01\/confused-3082831_960_720-768x512.jpg 768w, https:\/\/uxwritinghub.com\/wp-content\/uploads\/2019\/01\/confused-3082831_960_720.jpg 960w\" sizes=\"(max-width: 300px) 100vw, 300px\" \/><\/p>\n<p>&nbsp;<\/p>\n<p style=\"text-align: left;\"><span style=\"font-weight: 400;\">This was the legal definition that the ministry insisted on (and we really argued with them over it), even though it is ridiculously unclear.<\/span><\/p>\n<p style=\"text-align: left;\"><span style=\"font-weight: 400;\">Some people work 4 hours a day and some work 12. Civil servants have completely random work hours, and In Israel, a Friday can be a half day or a day off. What happens on holidays? Etc.<\/span><\/p>\n<p style=\"text-align: left;\"><span style=\"font-weight: 400;\">To make things worse, the ministry would not agree to publish their work hours. User experience nightmare!!! How many people do you think managed to appeal?<\/span><\/p>\n<p style=\"text-align: left;\"><span style=\"font-weight: 400;\">It should really be something specific and unambiguous, like:<\/span><\/p>\n<p>&nbsp;<\/p>\n<p style=\"text-align: left;\"><span style=\"font-weight: 400;\">\u201cYou must appeal within <\/span><b>3 work days<\/b><span style=\"font-weight: 400;\">\u201d. <\/span><\/p>\n<p>&nbsp;<\/p>\n<p style=\"text-align: left;\"><span style=\"font-weight: 400;\">Another example is \u201cproof of address\u201d. <\/span><\/p>\n<p style=\"text-align: left;\"><span style=\"font-weight: 400;\">Telling someone to submit \u201cproof of address\u201d is pretty broad, and should be clarified:<\/span><\/p>\n<p>&nbsp;<\/p>\n<p style=\"text-align: left;\"><strong>You must bring proof of address, such as:<\/strong><\/p>\n<ul style=\"text-align: left;\">\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">A utility bill (gas, phone, electricity, council tax).<\/span><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">A letter from your bank addressed to you.<\/span><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">A lease contract.<\/span><\/li>\n<\/ul>\n<h4><\/h4>\n<h4 style=\"text-align: left;\">&#8220;Specific&#8221; means clear and unambiguous, and focused on what the user needs. Your user shouldn\u2019t be left with questions.<\/h4>\n<h2><\/h2>\n<p>&nbsp;<\/p>\n<h2 style=\"text-align: left;\"><span style=\"font-weight: 400;\">3. Bite-sized, digestible chunks of information<\/span><\/h2>\n<p>&nbsp;<\/p>\n<p><img class=\"aligncenter wp-image-495\" src=\"https:\/\/uxwritinghub.com\/wp-content\/uploads\/2019\/01\/SMALL-BITE-SIZED-CHUNKS-OF-DIGESTIBE-CONTENT-300x68.jpg\" alt=\"\" width=\"600\" height=\"135\" srcset=\"https:\/\/uxwritinghub.com\/wp-content\/uploads\/2019\/01\/SMALL-BITE-SIZED-CHUNKS-OF-DIGESTIBE-CONTENT-300x68.jpg 300w, https:\/\/uxwritinghub.com\/wp-content\/uploads\/2019\/01\/SMALL-BITE-SIZED-CHUNKS-OF-DIGESTIBE-CONTENT-768x173.jpg 768w, https:\/\/uxwritinghub.com\/wp-content\/uploads\/2019\/01\/SMALL-BITE-SIZED-CHUNKS-OF-DIGESTIBE-CONTENT-1024x231.jpg 1024w, https:\/\/uxwritinghub.com\/wp-content\/uploads\/2019\/01\/SMALL-BITE-SIZED-CHUNKS-OF-DIGESTIBE-CONTENT.jpg 1072w\" sizes=\"(max-width: 600px) 100vw, 600px\" \/><\/p>\n<p>&nbsp;<\/p>\n<p style=\"text-align: left;\"><span style=\"font-weight: 400;\">Sometimes, applying for a service (or learning how to do something new on a program, for example) is a long and arduous task, and often includes a lot of information. <\/span><\/p>\n<p style=\"text-align: left;\"><span style=\"font-weight: 400;\">When the information is lumped together, it\u2019s almost impossible to digest, and even so, it\u2019s hard to remember (retention). <\/span><\/p>\n<p style=\"text-align: left;\"><span style=\"font-weight: 400;\">If you need to go back to refer to it later, it\u2019s hard to find. Basically, bad UX.<\/span><\/p>\n<h4><\/h4>\n<h4 style=\"text-align: left;\">Bite-sized, digestible chunks of information is kind of like flash cards for a test.<\/h4>\n<p>&nbsp;<\/p>\n<ul style=\"text-align: left;\">\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Anything that is part of a category should be organised together.<\/span>\n<ul>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\"><span style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">For example, ingredients for a recipe and method for a recipe are 2 clear categories.<\/span><\/span><\/span><\/li>\n<\/ul>\n<\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">If possible (and it\u2019s almost always possible) break information down into lists.<\/span>\n<ul>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">I use bullet lists if there is no specific order, and number lists for processes (this is not a rule!).<\/span><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Even if there is no specified order, it still makes sense to work out some internal hierarchy. Here\u2019s an example:<\/span><\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<p style=\"text-align: left;\"><span style=\"font-weight: 400;\"><br \/>\n<strong>Example:<br \/>\n<\/strong><br \/>\nLease contract, utility bills, ID card, high school diploma, driving licence<\/span><\/p>\n<p>This should be:<\/p>\n<p style=\"text-align: left;\"><strong>What you need<\/strong><\/p>\n<ul style=\"text-align: left;\">\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Your ID card.<\/span><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Your driving licence.<\/span><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Your lease contract.<\/span><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">At least one utility bill (such as gas, telephone, electricity, council tax) addressed to you.<\/span><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Your high school diploma.<\/span><\/li>\n<\/ul>\n<p style=\"text-align: left;\"><span style=\"font-weight: 400;\"><br \/>\nIn the above example, the user doesn\u2019t need to submit all these in any order. They are all equally important, so I\u2019ve used a bullet list.<\/span><\/p>\n<p style=\"text-align: left;\"><span style=\"font-weight: 400;\">I\u2019ve not listed the items randomly. I&#8217;ve arranged similar items together. It\u2019s just easier for the user to remember it that way. There\u2019s an internal logic.<\/span><\/p>\n<p style=\"text-align: left;\"><span style=\"font-weight: 400;\">On top of this, I\u2019ve also added more relevant information without creating a big clumpy mess of information, so I\u2019ve <\/span><b>clarified without sacrificing usability<\/b><span style=\"font-weight: 400;\">.<\/span><\/p>\n<ul style=\"text-align: left;\">\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Each list item should be short and clear &#8211; No longer than a simple sentence if possible.<\/span><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Paragraphs should be up to 3 sentences at most.<\/span><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">If you have an option to open and close chapters, use them if their is a lot of content and if it makes sense UI-wise.<\/span><\/li>\n<\/ul>\n<p style=\"text-align: left;\"><span style=\"font-weight: 400;\">The point is that it is easier to absorb and retain information if you get it a bit at a time and if each bit is simple and clear.<\/span><\/p>\n<p style=\"text-align: left;\"><span style=\"font-weight: 400;\">You can\u2019t eat a feast in a single bite (because you are a human and not a python). It&#8217;s quite important to remember that your users are humans too (not pythons).<\/span><\/p>\n<p style=\"text-align: left;\"><span style=\"font-weight: 400;\">Even if there is a lot of information, it is easy to find what you need, if its <\/span><b>organised and scannable<\/b><span style=\"font-weight: 400;\">.<\/span><\/p>\n<h2><\/h2>\n<p>&nbsp;<\/p>\n<h2 style=\"text-align: left;\"><span style=\"font-weight: 400;\">4. Scannability (is that a word? Yes)<\/span><\/h2>\n<p>&nbsp;<\/p>\n<p style=\"text-align: left;\"><span style=\"font-weight: 400;\">So, now that you have bite-sized, digestible pieces of information, they need to be scannable. If you\u2019ve done the above well, they already are. <\/span><\/p>\n<ul style=\"text-align: left;\">\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">You\u2019ve organised information into logical categories.<\/span><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">You\u2019ve broken it down into short and simple sentences, paragraphs and lists.<\/span><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">You\u2019ve got rid of anything that isn\u2019t really relevant.<\/span><\/li>\n<\/ul>\n<p>&nbsp;<\/p>\n<p style=\"text-align: left;\"><span style=\"font-weight: 400;\">But first, <\/span><\/p>\n<h3 style=\"text-align: left;\"><span style=\"font-weight: 400;\">What is scanning?<\/span><\/h3>\n<p><img class=\"aligncenter wp-image-494 size-full\" src=\"https:\/\/uxwritinghub.com\/wp-content\/uploads\/2019\/01\/ROBOT-SCANNING.jpg\" alt=\"\" width=\"428\" height=\"291\" srcset=\"https:\/\/uxwritinghub.com\/wp-content\/uploads\/2019\/01\/ROBOT-SCANNING.jpg 428w, https:\/\/uxwritinghub.com\/wp-content\/uploads\/2019\/01\/ROBOT-SCANNING-300x204.jpg 300w\" sizes=\"(max-width: 428px) 100vw, 428px\" \/><\/p>\n<p>&nbsp;<\/p>\n<p style=\"text-align: left;\"><span style=\"font-weight: 400;\">Scanning is when someone goes over a big chunk of information quickly and identifies key information. <\/span><\/p>\n<p style=\"text-align: left;\"><span style=\"font-weight: 400;\">I do this when I\u2019m trying to pick out my daughter as all the kids pour out of kindergarten, or when looking for my favourite chocolate bar on a massive supermarket shelf.<\/span><\/p>\n<p style=\"text-align: left;\"><span style=\"font-weight: 400;\">It\u2019s primarily about recognizing shapes that stand out and interpreting them as relevant or irrelevant. You are also mapping out a picture of what is in front of you (grasping the information hierarchy).<\/span><\/p>\n<p style=\"text-align: left;\"><span style=\"font-weight: 400;\">When I said <\/span><i><span style=\"font-weight: 400;\">No one really reads online&#8230;not if they want to get something done<\/span><\/i><span style=\"font-weight: 400;\">, it\u2019s because they are scanning, not reading.<\/span><\/p>\n<p>&nbsp;<\/p>\n<p style=\"text-align: left;\"><span style=\"font-weight: 400;\">I like how Angela Gorden sums it up in her article, <strong>&#8220;<\/strong><strong><strong>Are you skimming or scanning right now?&#8221;<\/strong><\/strong><em><strong>, <\/strong><\/em><a href=\"https:\/\/medium.com\/\">on Medium<\/a><br \/>\n<\/span><\/p>\n<p style=\"text-align: left;\"><span style=\"font-weight: 400;\">&#8220;Reading happens once users have got passed the scanning stage, and worked out what\u2019s relevant.<\/span><\/p>\n<p style=\"text-align: left;\"><strong class=\"markup--strong markup--pullquote-strong\">When you scan, you are a\u00a0hunter.<\/strong><\/p>\n<p id=\"14bf\" class=\"graf graf--p graf-after--pullquote\">You\u2019re on a mission, and you know precisely what you\u2019re looking for. You focus on your mission, ignoring pretty much everything else.&#8221;<\/p>\n<h3><\/h3>\n<h3 style=\"text-align: left;\"><span style=\"font-weight: 400;\">What makes something scannable<\/span><\/h3>\n<p style=\"text-align: left;\"><span style=\"font-weight: 400;\">There are two very basic principles to make something scannable:<\/span><\/p>\n<ol style=\"text-align: left;\">\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">It needs to stand out visually. <\/span><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">It needs to be a small, bite-sized, digestible chunk of info.<\/span><\/li>\n<\/ol>\n<p>&nbsp;<\/p>\n<p style=\"text-align: left;\"><span style=\"font-weight: 400;\">Making something stand out visually is pretty easy. <\/span><\/p>\n<ul style=\"text-align: left;\">\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Make it look different with font size, bold, colour<\/span><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Give it its own space<\/span><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Pair it with an icon or graphic<\/span><\/li>\n<\/ul>\n<p>&nbsp;<\/p>\n<p style=\"text-align: left;\"><span style=\"font-weight: 400;\">We\u2019ve already gone over how to make something a bite-sized, chunk of digestible information.The same rules apply for scannability, on steroids.<\/span><\/p>\n<p style=\"text-align: left;\"><span style=\"font-weight: 400;\">We\u2019re really talking about the most concise bits of information, like titles, or clear, 3 worded sentences, or just single words even.<\/span><\/p>\n<p>&nbsp;<\/p>\n<p style=\"text-align: left;\"><img class=\"aligncenter wp-image-496\" src=\"https:\/\/uxwritinghub.com\/wp-content\/uploads\/2019\/01\/STANDING-OUT-WITH-GRAPHICS.jpg\" alt=\"\" width=\"599\" height=\"210\" srcset=\"https:\/\/uxwritinghub.com\/wp-content\/uploads\/2019\/01\/STANDING-OUT-WITH-GRAPHICS.jpg 924w, https:\/\/uxwritinghub.com\/wp-content\/uploads\/2019\/01\/STANDING-OUT-WITH-GRAPHICS-300x105.jpg 300w, https:\/\/uxwritinghub.com\/wp-content\/uploads\/2019\/01\/STANDING-OUT-WITH-GRAPHICS-768x269.jpg 768w\" sizes=\"(max-width: 599px) 100vw, 599px\" \/><\/p>\n<p>&nbsp;<\/p>\n<p style=\"text-align: left;\"><span style=\"font-weight: 400;\">Example 1 will disappear very quickly if it is on a page with more than a few sentences.<\/span><\/p>\n<p style=\"text-align: left;\"><span style=\"font-weight: 400;\">Example 2 will stand out on any page of text (as long as the page isn\u2019t already full of graphics and colours)<\/span><\/p>\n<p>&nbsp;<\/p>\n<p style=\"text-align: left;\"><span style=\"font-weight: 400;\">So, for scannability:<\/span><\/p>\n<h4 style=\"text-align: left;\">Stand out visually. Short. Clear.<\/h4>\n<h2><\/h2>\n<p>&nbsp;<\/p>\n<h2 style=\"text-align: left;\"><span style=\"font-weight: 400;\">5. Design Rules: Principles + Practices for Great UI Design (Udemy course)<\/span><\/p>\n<p>&nbsp;<\/p>\n<p style=\"text-align: left;\"><a href=\"https:\/\/www.gov.uk\/guidance\/style-guide\"><span style=\"font-weight: 400;\">GOV.UK<\/span><\/a><span style=\"font-weight: 400;\"> are great at this, and they based what they do on <\/span><a href=\"https:\/\/www.plainenglish.co.uk\/about-us.html\"><span style=\"font-weight: 400;\">PLAIN ENGLISH<\/span><\/a><span style=\"font-weight: 400;\"> which was a whole movement that started in the late 70s to make bureaucratic English understandable, by using simple, understandable English for everyone.<\/span><\/p>\n<p>&nbsp;<\/p>\n<p><img class=\"aligncenter wp-image-493 size-full\" src=\"https:\/\/uxwritinghub.com\/wp-content\/uploads\/2019\/01\/PLAIN-ENGLISH-CAMPAIGN.jpg\" alt=\"\" width=\"917\" height=\"112\" srcset=\"https:\/\/uxwritinghub.com\/wp-content\/uploads\/2019\/01\/PLAIN-ENGLISH-CAMPAIGN.jpg 917w, https:\/\/uxwritinghub.com\/wp-content\/uploads\/2019\/01\/PLAIN-ENGLISH-CAMPAIGN-300x37.jpg 300w, https:\/\/uxwritinghub.com\/wp-content\/uploads\/2019\/01\/PLAIN-ENGLISH-CAMPAIGN-768x94.jpg 768w\" sizes=\"(max-width: 917px) 100vw, 917px\" \/><\/p>\n<p>&nbsp;<\/p>\n<p style=\"text-align: left;\"><span style=\"font-weight: 400;\">Now, you may be told that you are writing content for users who use jargon, like lawyers, doctors, quantum mechanics (they usually bring their own cat), etc. <\/span><\/p>\n<p style=\"text-align: left;\"><span style=\"font-weight: 400;\">Well, research shows otherwise, and you can <\/span><a href=\"https:\/\/gds.blog.gov.uk\/2014\/02\/17\/guest-post-clarity-is-king-the-evidence-that-reveals-the-desperate-need-to-re-think-the-way-we-write\/\"><span style=\"font-weight: 400;\">read about it here on GOV.UK<\/span><\/a><span style=\"font-weight: 400;\">. Here\u2019s my favourite bit:<\/span><\/p>\n<p>&nbsp;<\/p>\n<p style=\"text-align: left;\"><i><span style=\"font-weight: 400;\">&#8230;\u201cwhen given a choice, 80% of people preferred sentences written in clear English (for example, 97% preferred \u2018among other things\u2019 over the more traditional Latin phrase \u2018inter alia\u2019) and the more complex the issue, the greater that preference. <\/span><\/i><b><i>But second, it found that the more educated the person, the more specialist their knowledge, the greater their preference for plain English.<\/i><\/b><i><span style=\"font-weight: 400;\">\u201d<\/span><\/i><\/p>\n<p>&nbsp;<\/p>\n<p style=\"text-align: left;\"><span style=\"font-weight: 400;\">Even if you have a style and tone that include slang, and have worked hard to create a unique voice for your platform, when giving information, keep it simple, and make sure your user understands the language.<\/span><\/p>\n<p style=\"text-align: left;\"><span style=\"font-weight: 400;\">This means getting rid of jargon and getting rid of legal talk \u00a0&#8211; Yes! You can tell people about a law without reciting the law.<\/span><\/p>\n<h4><\/h4>\n<h4 style=\"text-align: left;\">You can tell people about a highly sophisticated and specialised process, without using highly specialised and sophisticated language.<\/h4>\n<p>&nbsp;<\/p>\n<p style=\"text-align: left;\"><span style=\"font-weight: 400;\">If you must include all sorts of legal jargon, stick it out of the way, and <\/span><b>explain the bits that need explaining<\/b><span style=\"font-weight: 400;\"> so the user can take action (because that\u2019s what they came to do).<\/span><\/p>\n<h2><\/h2>\n<p>&nbsp;<\/p>\n<h2 style=\"text-align: left;\"><span style=\"font-weight: 400;\">7. Direct language &#8211; Don\u2019t talk about, talk to<\/span><\/h2>\n<p style=\"text-align: left;\"><span style=\"font-weight: 400;\">Being direct means talking to someone, and not about them, and definitely not about the action they need to take as an abstract, or talking in a passive form. It also means telling the user what <strong>they\u00a0<\/strong>need to do, actively, so, use verbs.<\/span><\/p>\n<h4><\/h4>\n<h4 style=\"text-align: left;\">Talk to the user. Not about the user. Tell the user what they need to do, not what must be done.<\/h4>\n<p>&nbsp;<\/p>\n<p style=\"text-align: left;\"><span style=\"font-weight: 400;\">Here are some examples:<\/span><\/p>\n<p>&nbsp;<\/p>\n<p style=\"text-align: left;\"><span style=\"font-weight: 400;\">Passport Application \u2192 <\/span><b>Apply for a passport<\/b><\/p>\n<p>&nbsp;<\/p>\n<p style=\"text-align: left;\"><span style=\"font-weight: 400;\">Persons requiring a new passport must make the application at a Population and Immigration office after first making an appointment. <\/span><\/p>\n<p style=\"text-align: left;\"><span style=\"font-weight: 400;\">\u2192 <\/span><\/p>\n<p style=\"text-align: left;\"><b>Apply for your passport at a Population and Immigration office.<\/b><\/p>\n<p style=\"text-align: left;\"><b>You need to make an appointment first.<\/b><\/p>\n<h2><\/h2>\n<p>Just imagine that your user is a real person and you are talking to them (Not a massive stretch of imagination). That&#8217;s what people usually want and respond to best.<\/p>\n<p>&nbsp;<\/p>\n<h2 style=\"text-align: left;\"><span style=\"font-weight: 400;\">8. Links to more information &#8211; Link it out<\/span><\/h2>\n<p style=\"text-align: left;\"><span style=\"font-weight: 400;\">Linking out is a way of extending the scope of the information, without sacrificing usability. You only should be doing this for content that is relevant but not crucial, and is beyond the scope of what you\u2019re writing.<\/span><\/p>\n<p style=\"text-align: left;\"><span style=\"font-weight: 400;\">It may be useful for the reader to know about the new biometric ID and passport &#8211; the rules and regulations, technology and ethical implications &#8211; but it\u2019s not crucial for their application.<\/span><\/p>\n<p style=\"text-align: left;\"><span style=\"font-weight: 400;\">Simply stick in a link in the relevant place, like:<\/span><\/p>\n<p style=\"text-align: left;\"><b>Find out more about biometric documentation<\/b><\/p>\n<p style=\"text-align: left;\"><span style=\"font-weight: 400;\">These 6 words replaced entire chapters of information that the ministry wanted in the application page.<\/span><\/p>\n<p style=\"text-align: left;\"><span style=\"font-weight: 400;\">It was important to them. They were proud of the revolutionary change that culminated about ten years of work and countless millions of taxpayers\u2019 money.\u00a0<\/span><span style=\"font-weight: 400;\">I thought it was irrelevant for actually getting the passport. So I linked it out.<\/span><\/p>\n<p style=\"text-align: left;\"><span style=\"font-weight: 400;\">I get told to put in legal stuff quite a lot, to prevent ambiguity that might lead to legal action.\u00a0<\/span><span style=\"font-weight: 400;\">Usually, its unreadable, so I can\u2019t see how it\u2019s helpful, but in any case, it should be enough to link-out to it, as long as the linking-out is clear.<\/span><\/p>\n<h2><\/h2>\n<p>&nbsp;<\/p>\n<h2 style=\"text-align: left;\"><span style=\"font-weight: 400;\">9. Consistency (not uniformity)<\/span><\/h2>\n<p style=\"text-align: left;\"><span style=\"font-weight: 400;\">Whatever form and style you choose, you should remain consistent in both. Eventually, \u201cconsistency\u201d was adopted instead of \u201cuniformity\u201d, which makes much more sense.<\/span><\/p>\n<p style=\"text-align: left;\"><span style=\"font-weight: 400;\">In general, I\u2019d say that all rules are guidelines, and you should be making intelligent decisions all the time.<\/span><\/p>\n<p style=\"text-align: left;\"><span style=\"font-weight: 400;\">One of my favourite quotes is:<\/span><\/p>\n<p>&nbsp;<\/p>\n<h4 style=\"text-align: left;\">\u201c<em>One size fits no-one<\/em>\u201d,\u00a0<span style=\"font-weight: 400;\">Terry Pratchett, author of <a href=\"https:\/\/www.terrypratchettbooks.com\/\">The Discworld series<\/a><\/span><\/h4>\n<h2><\/h2>\n<p>&nbsp;<\/p>\n<h2 style=\"text-align: left;\"><span style=\"font-weight: 400;\">Pro tip<\/span><\/h2>\n<p style=\"text-align: left;\"><span style=\"font-weight: 400;\">I want to end with one massive Pro Tip. <\/span><\/p>\n<p style=\"text-align: left;\"><span style=\"font-weight: 400;\">Get someone to read whatever you write and help edit it.
