{"id":376,"date":"2018-12-02T11:49:49","date_gmt":"2018-12-02T11:49:49","guid":{"rendered":"https:\/\/uxwritinghub.com\/?p=376"},"modified":"2021-07-05T08:03:55","modified_gmt":"2021-07-05T08:03:55","slug":"4-steps-to-support-your-ux-writing-strategy","status":"publish","type":"post","link":"https:\/\/uxwritinghub.com\/4-steps-to-support-your-ux-writing-strategy\/","title":{"rendered":"4 steps to support your UX Writing strategy"},"content":{"rendered":"<p id=\"a45a\" class=\"graf graf--p graf--hasDropCapModel graf--hasDropCap graf-after--figure\"><span class=\"graf-dropCap\">T<\/span>wo weeks ago I was commissioned to create a friendly conversational flow to transfer money for a banking mobile app and when I had finished, it all seemed very clear and aligned to our content principles at first, but a few seconds later I found myself wondering if users would understand it.\u200a\u2014\u200a<strong class=\"markup--strong markup--p-strong\"><em class=\"markup--em markup--p-em\">Have you been in this situation before?<\/em><\/strong><\/p>\n<p id=\"cd1a\" class=\"graf graf--p graf-after--p\">I started realizing then that being always in a hurry and working as part of a sprint based agile model, got me \u201c<em class=\"markup--em markup--p-em\">blinded\u201d<\/em>\u00a0with technical wording while crafting specific messages as we\u2019re surrounded by business jargon.<\/p>\n<blockquote id=\"52f3\" class=\"graf graf--blockquote graf-after--p\"><p>I just felt to be suffering the\u00a0<strong class=\"markup--strong markup--blockquote-strong\"><em class=\"markup--em markup--blockquote-em\">curse of knowledge,\u00a0<\/em><\/strong>a term employed by the renowned linguist and psychologist Steven Pinker, that happens to be when you\u2019re surrounded by experts assuming \u201ctoo much knowledge on behalf of other people.\u201d<\/p><\/blockquote>\n<p id=\"8a77\" class=\"graf graf--p graf-after--blockquote\">As UX Writers we follow different processes to develop compelling useful copy decks to match UI, but sometimes it can be very hard to discuss with product owners and stakeholders our wording selection, as language can be subjective at some extent, we need to support our work with valuable research that will ultimately answer all those businessy \u201c<strong class=\"markup--strong markup--p-strong\">whys\u201d<\/strong>.<\/p>\n<p id=\"2760\" class=\"graf graf--p graf-after--p\">Our job is to keep these decisions aligned with our brand\u2019s voice and tone, but there will be always a little remaining gap between our digital product wording and the user\u2019s mindset, that\u2019s why\u00a0<strong class=\"markup--strong markup--p-strong\">research<\/strong>\u00a0stands up as a core element to build empathy, and by research I\u2019m not implying only usability, but\u00a0<strong class=\"markup--strong markup--p-strong\">UX Writing testing and feedback<\/strong>.<\/p>\n<blockquote id=\"785e\" class=\"graf graf--pullquote graf-after--p\"><p>No matter how friendly or straightforward our microcopy could be read, as \u201cContent guardians\u201d we need to ensure it\u2019s supported by relevant and valuable research.<\/p><\/blockquote>\n<figure id=\"8c81\" class=\"graf graf--figure graf--layoutOutsetLeft graf-after--pullquote\">\n<div class=\"aspectRatioPlaceholder is-locked\">\n<div class=\"aspectRatioPlaceholder-fill\"><\/div>\n<div class=\"progressiveMedia js-progressiveMedia graf-image is-canvasLoaded is-imageLoaded\"><img class=\"progressiveMedia-image js-progressiveMedia-image\" src=\"https:\/\/cdn-images-1.medium.com\/max\/1200\/1*6tR39A6BvOSiuvEUObdaBQ.jpeg\" \/><\/div>\n<\/div>\n<\/figure>\n<p id=\"0ee8\" class=\"graf graf--p graf-after--p\">After noticing how important research is when developing microcopy through diverse challenges at work, I decided to start collecting some important tools and methodologies in order to build a step-by-step roadmap. So here\u2019s actually what I\u2019ve got so far.<\/p>\n<h2 id=\"6ba1\" class=\"graf graf--h3 graf-after--p\">Ready to follow the \u201cContent guardian\u201d research\u00a0roadmap?<\/h2>\n<p id=\"35c2\" class=\"graf graf--p graf-after--h3\">Grab your magnifying glass and follow this roadmap according to your UX design goals, you might only need to use 2 steps or move back and forth from one to another, it\u2019s all up to you.<\/p>\n<p id=\"b6b3\" class=\"graf graf--p graf-after--p\">You\u2019ll find some basic insights to follow, just remember that every project is completely different, once you complete the whole process your writing will be shining bright and ready to roll!<\/p>\n<figure id=\"1507\" class=\"graf graf--figure graf-after--p\">\n<div class=\"aspectRatioPlaceholder is-locked\">\n<div class=\"aspectRatioPlaceholder-fill\"><\/div>\n<div class=\"progressiveMedia js-progressiveMedia graf-image is-canvasLoaded is-imageLoaded\"><img class=\"progressiveMedia-image js-progressiveMedia-image\" src=\"https:\/\/cdn-images-1.medium.com\/max\/1600\/1*LIpkSAucTSyrnDiWXnRG9w.png\" \/><\/div>\n<\/div><figcaption class=\"imageCaption\">The \u201cContent guadian\u201d research\u00a0roadmap<\/p>\n<hr \/>\n<\/figcaption><\/figure>\n<h2 id=\"2b2b\" class=\"graf graf--h4 graf--hasDropCapModel graf-after--figure\"><strong class=\"markup--strong markup--h4-strong\">1. Desk research or how to look out for existing\u00a0data<\/strong><\/h2>\n<ul class=\"postList\">\n<li id=\"79d7\" class=\"graf graf--li graf-after--h4\"><a class=\"markup--anchor markup--li-anchor\" href=\"https:\/\/trends.google.com.mx\/trends\/?geo=US\" target=\"_blank\" rel=\"nofollow noopener noreferrer\"><strong class=\"markup--strong markup--li-strong\">Google trends.<\/strong><\/a><\/li>\n<\/ul>\n<p id=\"1e95\" class=\"graf graf--p graf-after--li\">Have you felt indecisive between two similar words? Google Trends will always stand as a basic tool for every UX Writer. You\u2019ll find it very helpful as it compares the most common sought-after words per region or country.<\/p>\n<figure id=\"627f\" class=\"graf graf--figure graf--startsWithDoubleQuote graf-after--p\">\n<div class=\"aspectRatioPlaceholder is-locked\">\n<div class=\"aspectRatioPlaceholder-fill\"><\/div>\n<div class=\"progressiveMedia js-progressiveMedia graf-image is-canvasLoaded is-imageLoaded\"><img class=\"progressiveMedia-image js-progressiveMedia-image\" src=\"https:\/\/cdn-images-1.medium.com\/max\/1600\/1*1NXRy9gTyvx_StXNBT18fQ.png\" \/><\/div>\n<\/div><figcaption class=\"imageCaption\">\u201cMake or do?\u201d Google Trends can always light your\u00a0way<\/figcaption><\/figure>\n<ul class=\"postList\">\n<li id=\"ce0e\" class=\"graf graf--li graf-after--figure\"><strong class=\"markup--strong markup--li-strong\">Voice and tone benchmarking<\/strong><\/li>\n<\/ul>\n<p id=\"48a1\" class=\"graf graf--p graf-after--li\">You\u2019d probably like to know how other brands are displaying microcopy throughout their digital products and platforms, so you can make a self-assessment to help you define your own copy strengths and weaknesses.<\/p>\n<p id=\"e2d1\" class=\"graf graf--p graf-after--p\">That\u2019s why I always find myself making screenshots of my iPhone\u2019s native pop-ups, Slack\u2019s loading insights, Uber\u2019s emailings or Amazon\u2019s error messages. Exploratory research or let your inner anthropologist come\u00a0out<\/h2>\n<p id=\"a384\" class=\"graf graf--p graf-after--h4\">After gathering some existing data, it\u2019s time to get some by yourself using the following methodologies.<\/p>\n<ul class=\"postList\">\n<li id=\"c9b9\" class=\"graf graf--li graf-after--p\"><strong class=\"markup--strong markup--li-strong\">Observation<\/strong><\/li>\n<\/ul>\n<p id=\"8cce\" class=\"graf graf--p graf-after--li\">One of the major skills to be develop for every design thinker, is getting immersed in user\u2019s lives, so don\u2019t be afraid to leave your office or home and go outside and pay attention to your user\u2019s expressions and observe attitudes or reactions. Maybe you just need to question yourself which kind of places your users tend to frequent. Maybe you\u2019ll find them in a coffee shop around the corner or maybe at a Comic-Con? I\u2019m pretty sure you\u2019ll have a lot of hints once you\u2019ve completed your desk research.<\/p>\n<blockquote id=\"9fdd\" class=\"graf graf--blockquote graf--startsWithDoubleQuote graf-after--p\"><p>\u201cThe only way we can get to know them is to seek them out where they live, work and play (\u2026) We watch what people do (and do not do) and listen to what they say (and do not say). This takes some practice.\u201d\u200a\u2014\u200aTim Brown, 2009<\/p><\/blockquote>\n<ul class=\"postList\">\n<li id=\"777d\" class=\"graf graf--li graf-after--blockquote\"><strong class=\"markup--strong markup--li-strong\">Qualitative interview sessions<\/strong><\/li>\n<\/ul>\n<p id=\"179e\" class=\"graf graf--p graf-after--li\">On the other hand, conducting a qualitative interview focused on a specific topic will let you know important insights. We recently conducted one to discover the user\u2019s perception about the bank\u2019s ATMs voice and tone, it\u2019s all about forgetting assumptions and listening.<\/p>\n<p id=\"ecf5\" class=\"graf graf--p graf-after--p\">You can set up a session recruiting 3 or 4 participants, be sure to find representative personas of your actual users, prepare a question lay-out with your research goals and some picture cards to support the topic.<\/p>\n<p id=\"d5a8\" class=\"graf graf--p graf-after--p\">Also is very important to set a comfortable environment to build trust, therefore they will feel free to express themselves without expecting to be criticized; make them clear that there are no wrong or right answers and let them know how important is their collaboration for your design process.<\/p>\n<p id=\"0f37\" class=\"graf graf--p graf-after--p\">Qualitative data can be very surprising and unexpected. For example, I concluded that Mexican users are often expecting a formal tone from banks; also they expressed that an ATM conversation should focus more on delivering an efficient and straightforward language, rather than an over exceedingly friendly one.<\/p>\n<ul class=\"postList\">\n<li id=\"0f8d\" class=\"graf graf--li graf-after--p\"><strong class=\"markup--strong markup--li-strong\">Online surveys<\/strong><\/li>\n<\/ul>\n<p id=\"255c\" class=\"graf graf--p graf-after--li\">You can always try out\u00a0<a class=\"markup--anchor markup--p-anchor\" href=\"https:\/\/medium.com\/r\/?url=https%3A%2F%2Fwww.typeform.com\" target=\"_blank\" rel=\"nofollow noopener noreferrer\">Typeform<\/a>\u00a0or\u00a0<a class=\"markup--anchor markup--p-anchor\" href=\"https:\/\/medium.com\/r\/?url=https%3A%2F%2Fes.surveymonkey.com\" target=\"_blank\" rel=\"nofollow noopener noreferrer\">SurveyMonkey<\/a>. Recently Typeform has been very useful for me thanks to its intuitive tools and multiple questions settings. These can help you out not only to determine which copy option to choose, but to ask for emotional and more in-depth insights.<\/p>\n<p id=\"cc0f\" class=\"graf graf--p graf-after--p\">Be sure to give enough context to participants and don\u2019t overwhelm them with long and elaborated questions, remember to include multiple options and blank fields if necessary. Don\u2019t forget to review your survey before sending it to the queue.<\/p>\n<p id=\"8b33\" class=\"graf graf--p graf-after--p\">Here\u2019s a rather awkward survey I got from Instagram a few weeks ago.<\/p>\n<figure id=\"816e\" class=\"graf graf--figure graf--startsWithDoubleQuote graf-after--p\">\n<div class=\"aspectRatioPlaceholder is-locked\">\n<div class=\"aspectRatioPlaceholder-fill\"><\/div>\n<div class=\"progressiveMedia js-progressiveMedia graf-image is-canvasLoaded is-imageLoaded\"><img class=\"progressiveMedia-image js-progressiveMedia-image\" src=\"https:\/\/cdn-images-1.medium.com\/max\/1600\/1*BNM5ua7ktyYCCqMM5DUePg.png\" \/><\/div>\n<\/div><figcaption class=\"imageCaption\">\u201cIn your daily life, how often do you feel better with yourself after getting compared with someone else?\u201d An example of how Instagram evaluates its users attitudes and self-esteem.<\/figcaption><\/figure>\n<ul class=\"postList\">\n<li id=\"65e4\" class=\"graf graf--li graf-after--figure\"><strong class=\"markup--strong markup--li-strong\">The bubble approach<\/strong><\/li>\n<\/ul>\n<p id=\"c9de\" class=\"graf graf--p graf-after--li\">An extraordinary good practice shared by Capital One\u2019s content specialist Biz Sanford during the latest\u00a0<a class=\"markup--anchor markup--p-anchor\" href=\"https:\/\/medium.com\/r\/?url=https%3A%2F%2Fwww.invisionapp.com%2Fwebinars\" target=\"_blank\" rel=\"nofollow noopener noreferrer\">InVision Design Talks<\/a>\u00a0about UX copy.<\/p>\n<p id=\"7cc9\" class=\"graf graf--p graf-after--p\">The whole idea is supported by natural conversations. It basically consists on asking your participants to write down in dialogue bubbles how they imagine themselves talking to the bank in order to solve a problem they struggled with in the past. Steph Hay, Director of <a href=\"https:\/\/uxwritinghub.com\/content-strategy-and-ux-writing\/\">Content Strategy<\/a> at Capital One even recommended at\u00a0<a class=\"markup--anchor markup--p-anchor\" href=\"https:\/\/medium.com\/r\/?url=https%3A%2F%2Fuie.fm%2Fshows%2Fspoolcast%2Fsteph-hay-designing-with-a-content-first-approach\" target=\"_blank\" rel=\"nofollow noopener noreferrer\">The Spool Cast<\/a>\u00a0to ask them which part of that problem they loved and hated the most to awaken their emotional side. After getting all those bubbles filled in by your participants, you can dissect them and take meaningful <a href=\"https:\/\/uxwritinghub.com\/conversational-design\/\">conversational elements<\/a> for your wireframes. This activity will give you even more conversational elements to your tracking notes.<\/p>\n<blockquote id=\"3186\" class=\"graf graf--blockquote graf-after--p\"><p>Remember that customers\u00a0<strong class=\"markup--strong markup--blockquote-strong\">really want to feel listened<\/strong>.<\/p>\n<hr \/>\n<\/blockquote>\n<h2><\/h2>\n<h2 id=\"d8d9\" class=\"graf graf--h4 graf-after--blockquote\">3. Feedback and testing\u2026 or just let your \u201cwhys\u201d come\u00a0out<\/h2>\n<p id=\"e5a0\" class=\"graf graf--p graf-after--h4\">Now the time has come to answer questions like \u201cIs this form understandable enough to users?\u201d or \u201cWhich of these three similar texts will make more sense?\u201d<\/p>\n<ul class=\"postList\">\n<li id=\"8ea8\" class=\"graf graf--li graf-after--p\"><strong class=\"markup--strong markup--li-strong\">Testing with actual users<\/strong><\/li>\n<\/ul>\n<p id=\"6069\" class=\"graf graf--p graf-after--li\">Once you\u2019ve worked together along your design process with the UX and UI team and refined your microcopy you can test your flows with actual users. You can conduct the testing by yourself or if your budget allows it, I\u2019d suggest the testing to take place in a Gessel dome with an external interviewer. It is very important to define the question lay-out looking after your content goals and not forgetting to ask \u201cwhy\u201d.<\/p>\n<p id=\"563d\" class=\"graf graf--p graf-after--p\">Just to give you an idea, you can submit inquiries like: \u201cWhat do you expect to find once you tap this button?\u201d or \u201cDoes the meaning of this term<em class=\"markup--em markup--p-em\">\u00a0<\/em>was clear to you?\u201d. Also this practice is very useful when trying to get rid of complex banking technical terms with A\/B testing.<\/p>\n<ul class=\"postList\">\n<li id=\"c380\" class=\"graf graf--li graf-after--p\"><strong class=\"markup--strong markup--li-strong\">Card sorting<\/strong><\/li>\n<\/ul>\n<p id=\"239d\" class=\"graf graf--p graf-after--li\"><a class=\"markup--anchor markup--p-anchor\" href=\"https:\/\/medium.com\/r\/?url=https%3A%2F%2Fwww.optimalworkshop.com\" target=\"_blank\" rel=\"noopener nofollow noreferrer\">Optimal Workshop<\/a>\u00a0or\u00a0<a class=\"markup--anchor markup--p-anchor\" href=\"https:\/\/medium.com\/r\/?url=https%3A%2F%2Fwww.userzoom.com\" target=\"_blank\" rel=\"noopener nofollow noreferrer\">UserZoom<\/a>\u00a0are good options to let users help you structure your website\u2019s or app\u2019s information architecture or maybe to define which labels should live in your app\u2019s menu, you\u2019ll really find the results analysis and tree diagrams very useful for your research.<\/p>\n<p id=\"d456\" class=\"graf graf--p graf-after--p\">Card sortings are often very helpful when having complex content challenges, so don\u2019t forget that the more complex your design process had been, the more value it will deliver to your users, increasing the NPS score.<\/p>\n<figure id=\"8a31\" class=\"graf graf--figure graf-after--p\">\n<div class=\"aspectRatioPlaceholder is-locked\">\n<div class=\"aspectRatioPlaceholder-fill\"><\/div>\n<div class=\"progressiveMedia js-progressiveMedia graf-image is-canvasLoaded is-imageLoaded\"><img class=\"progressiveMedia-image js-progressiveMedia-image\" src=\"https:\/\/cdn-images-1.medium.com\/max\/1600\/1*8Q0SCspZwKe_3_CVOcWMhA.png\" \/><\/div>\n<\/div><figcaption class=\"imageCaption\">\u00a0\u201cDesigners and users improving the product together\u201d, an Optimal Workshop example of how users can help you out by ordering and naming different label categories.<\/figcaption><\/figure>\n<ul class=\"postList\">\n<li id=\"b95d\" class=\"graf graf--li graf-after--figure\"><strong class=\"markup--strong markup--li-strong\">Cloze testing<\/strong><\/li>\n<\/ul>\n<p id=\"cb16\" class=\"graf graf--p graf-after--li\">This one is more oriented to understanding and its based on the Gestalt theory of mental self-organization by W. L. Taylor. It consists on selecting a piece of text and then deleting every 5th word or less depending on your text length.<\/p>\n<p id=\"dc11\" class=\"graf graf--p graf-after--p\">You just need to ask the participant to guess the missing words by filling the blanks and then calculating the score. If they score more than 60% it means it\u2019s comprehensible. You can take a closer look to\u00a0<a class=\"markup--anchor markup--p-anchor\" href=\"https:\/\/medium.com\/r\/?url=http%3A%2F%2Fwww.readabilityformulas.com%2Fthe-cloze-test-readability-assessment.php\" target=\"_blank\" rel=\"nofollow noopener noreferrer\">Readability formulas<\/a>\u00a0to find out more.<\/p>\n<blockquote id=\"93d6\" class=\"graf graf--pullquote graf-after--p\"><p>Although they usually come together in testing, keep on mind that UX research would focus more on usability, whilst UX Writing on understanding.<\/p><\/blockquote>\n<hr \/>\n<h2 id=\"2c76\" class=\"graf graf--h4 graf--hasDropCapModel graf-after--pullquote\">4. Don\u2019t forget to measure your results and keep iterating<\/h2>\n<p id=\"1c36\" class=\"graf graf--p graf-after--h4\">Once you have collected meaningful data, remember that is very important to measure success with analytics, your NPS or reviewing the app store feedback.
