I get to give them a few tips and tricks that I\u2019ve learned along the way, things that I learned mostly through trial and error. People are always a little surprised to hear that these tips are actually all focused on soft skills, rather than writing itself.<\/span><\/p><h2><span style=\"font-weight: 400;\">1. Be active in meetings<\/span><\/h2><p><span style=\"font-weight: 400;\">As the field of <a href=\"https:\/\/uxwritinghub.com\/what-is-ux-writing\/\" target=\"_blank\" rel=\"noopener\">UX writing<\/a> continues to develop, I\u2019m pleased to hear less and less people talk about not having a seat at the table. If you\u2019re lucky enough to get invited to the meetings that matter, don\u2019t squander the opportunity!<\/span><\/p><p><span style=\"font-weight: 400;\">Show the other stakeholders that you\u2019re engaged and have something to offer. I know you probably have a lot of work, but typing away through meetings is the fastest way to lose your seat. For many people, inviting a UX writer to meetings early on is still not intuitive. We write the words, the words come last, therefore we\u2019re not needed. You need to prove to them that bringing you in does add value.<\/span><\/p><p><span style=\"font-weight: 400;\">That doesn\u2019t mean that you need to talk just for the sake of talking. Start by closing any open work and looking directly at what\u2019s being presented, or the person presenting it. Ask questions whenever you need more clarification, or jot a note to yourself to ask one-on-one if it\u2019s not relevant to everyone in the meeting. Leave some comments in Figma or your content doc so others can see that you were paying attention. (This also benefits you, so you don\u2019t forget what happened in the meeting.)<\/span><\/p><p><span style=\"font-weight: 400;\">We\u2019ll discuss active listening further down, but keep in mind that it\u2019s a great tool for meetings too, not just one-on-ones.<\/span><\/p><h2><span style=\"font-weight: 400;\">2. Question everything<\/span><\/h2><p><span style=\"font-weight: 400;\">As UX writers, we can\u2019t take any text that we receive from someone else at face value. What\u2019s written there is what that person thinks is the correct message. And maybe they\u2019re right. Then again, maybe they\u2019re wrong. It\u2019s our job to figure out what the correct message is; if you\u2019re not asking enough questions, you\u2019ll never be able to do that part of your job.<\/span><\/p><p><span style=\"font-weight: 400;\">Here are some questions to get you started:<\/span><\/p><ul><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">What does the user see before this? What did they click on to get here?<\/span><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Why are they seeing this message?<\/span><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">What action do we want them to take? Why?<\/span><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">What are the consequences and\/or benefits of doing the primary action?<\/span><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">What happens after they complete the primary action?<\/span><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">What happens if they choose the secondary action?<\/span><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Will anything happen that can\u2019t be undone?<\/span><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Are there any ramifications on XYZ earlier\/later in the flow?<\/span><\/li><\/ul><p><span style=\"font-weight: 400;\">It\u2019s crucial to ask these questions before writing a single word. If the answer you\u2019re given doesn\u2019t quite make sense, push harder. Hone your active listening skills<\/span><\/h2><p><span style=\"font-weight: 400;\">Asking all these questions means nothing if you\u2019re not practicing active listening for the answers.<\/span><\/p><p><a href=\"https:\/\/www.usip.org\/public-education-new\/what-active-listening\" target=\"_blank\" rel=\"noopener\"><span style=\"font-weight: 400;\">The United States Institute of Peace<\/span><\/a><span style=\"font-weight: 400;\"> defines active listening as \u201ca way of listening and responding to another person that improves mutual understanding\u201d. Researchers <\/span><a href=\"https:\/\/zengerfolkman.com\/wp-content\/uploads\/2019\/08\/What-Great-Listeners-Actually-Do_WP-2019.pdf\" target=\"_blank\" rel=\"noopener\"><span style=\"font-weight: 400;\">Jack Zenger and Joe Folkman<\/span><\/a><span style=\"font-weight: 400;\"> discovered that \u201cgood listening [is] seen as a cooperative conversation\u201d. Mutual understanding and having a cooperative conversation is the goal here, not to prove a point or show up the other person.<\/span><\/p><p><span style=\"font-weight: 400;\">Active listening is just that\u2013active. You want to really try and understand what the other person is saying. You can paraphrase, repeat back to them what you understood and check for accuracy, and ask questions to dig deeper. It\u2019s also helpful to empathize and acknowledge the other person\u2019s feelings and thoughts.<\/span><\/p><p><span style=\"font-weight: 400;\">Let\u2019s look at some examples, to see the differences when using active listening.<\/span><\/p><h3><span style=\"font-weight: 400;\">Not using active listening:<\/span><\/h3><ul><li style=\"font-weight: 400;\" aria-level=\"1\"><b>Product manager:<\/b><span style=\"font-weight: 400;\"> \u201cThis is missing a ton of stuff that we should be telling the user here.\u201d<\/span><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><b>You: <\/b><span style=\"font-weight: 400;\">\u201cI disagree, I think this is exactly what the user needs to know right now.\u201d<\/span><\/li><\/ul><p><span style=\"font-weight: 400;\">And that\u2019s it, that\u2019s the end of the conversation and no mutual understanding has been reached.<\/span><\/p><h3><span style=\"font-weight: 400;\">Active listening:<\/span><\/h3><ul><li style=\"font-weight: 400;\" aria-level=\"1\"><b>Product manager:<\/b><span style=\"font-weight: 400;\"> \u201cThis is missing a ton of stuff that we should be telling the user here.\u201d<\/span><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><b>You:<\/b><span style=\"font-weight: 400;\"> \u201cOkay, tell me what\u2019s missing for you. What do you think they need to know right now? Why do you think they need to know that?\u201d<\/span><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><b>Product manager: <\/b><span style=\"font-weight: 400;\">\u201cWe\u2019re not telling them about Feature X, which is super cool. If they know about Feature X, they\u2019ll want to keep going.\u201d<\/span><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><b>You: <\/b><span style=\"font-weight: 400;\">\u201cSo you think that Feature X should be mentioned earlier. I think that\u2019s too much info to give the user right now, as we know that users are currently dropping at this stage because they feel overwhelmed. But I agree that we can mention it in step 2 instead of waiting until the end. Do you think that could be the right spot for it?\u201d<\/span><\/li><\/ul><p><span style=\"font-weight: 400;\">By using active listening, you\u2019ve better understood what the product manager is missing and been able to explain why you disagree. You also empathized with them and tried to find a solution that works for all parties.<\/span><\/p><h3><span style=\"font-weight: 400;\">Not using active listening:<\/span><\/h3><ul><li style=\"font-weight: 400;\" aria-level=\"1\"><b>Designer: <\/b><span style=\"font-weight: 400;\">\u201cI liked the way I wrote it in the wireframe better.\u201d<\/span><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><b>You: <\/b><span style=\"font-weight: 400;\">\u201cI think mine is better because it tells the user only what they need to know.\u201d<\/span><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><b>Designer:<\/b><span style=\"font-weight: 400;\"> \u201cI don\u2019t agree with that.\u201d<\/span><\/li><\/ul><p><span style=\"font-weight: 400;\">Stalemate! Neither of you are feeling positively towards the other, nor are you aligned on the text.<\/span><\/p><h3><span style=\"font-weight: 400;\">Active listening:<\/span><\/h3><ul><li style=\"font-weight: 400;\" aria-level=\"1\"><b>Designer:<\/b><span style=\"font-weight: 400;\"> \u201cI liked the way I wrote it in the wireframe better.\u201d<\/span><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><b>You:<\/b><span style=\"font-weight: 400;\"> \u201cWhat did you like better in what you wrote? What isn\u2019t working for you in what I wrote?\u201d<\/span><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><b>Designer:<\/b><span style=\"font-weight: 400;\"> \u201cI feel like we should be celebrating more here, and what you wrote feels less exciting.\u201d<\/span><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><b>You: <\/b><span style=\"font-weight: 400;\">\u201cWhy do you think we should be celebrating more here?\u201d<\/span><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><b>Designer: <\/b><span style=\"font-weight: 400;\">\u201cBecause the user just finished adding a product, which should be a happy moment.\u201d<\/span><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><b>You: <\/b><span style=\"font-weight: 400;\">\u201cI understand what you\u2019re saying. We think that this is a happy moment because that\u2019s one of our KPIs, but for the user this is just another part of their work day. They didn\u2019t spend a lot of time on this and they\u2019ll see this message every time they add a product. So I don\u2019t think we want to be really excited here. But I do agree that we should celebrate a truly happy moment. Do you think we could add some kind of notification once they\u2019ve published all their products? That feels like a bigger moment to me.\u201d<\/span><\/li><\/ul><p><span style=\"font-weight: 400;\">Again, you\u2019ve really dug deeper to understand exactly why they liked their version better. You\u2019ve also had an opportunity to explain why you disagree, and are putting the ball back in their court to incorporate what they think is important in a different way.<\/span><\/p><p><span style=\"font-weight: 400;\">Active listening is a crucial soft skill for relationship building and can help produce really great products that everyone feels confident in.<\/span><\/p><h2><span style=\"font-weight: 400;\">4. Save your strength for the things that matter<\/span><\/h2><p><span style=\"font-weight: 400;\">Small disagreements like the examples above happen all the time, and active listening can help resolve them quickly. But what happens if the other stakeholder doesn\u2019t agree, even after you\u2019ve practiced active listening and explained your side of things?<\/span><\/p><p><span style=\"font-weight: 400;\">Then you have to decide if it\u2019s worth fighting for.<\/span><\/p><p><span style=\"font-weight: 400;\">In the past, I explained this to writers as \u201cpicking your battles.\u201d Recently, though, I\u2019ve tried to move away from using that metaphor. Other stakeholders should be seen as our partners, not our enemies. We all want the same thing: to create a great product for the user.<\/span><\/p><p><span style=\"font-weight: 400;\">Partners, of course, do sometimes fight about the best course of action. Not every fight is worth the energy, and if you try to fight people on every little thing, they won\u2019t take you seriously on the big stuff. They won\u2019t be willing to work with you on the things that actually matter.\u00a0<\/span><\/p><p><span style=\"font-weight: 400;\">So how do you decide where to draw that line? How do you decide what\u2019s worth fighting for, and what\u2019s worth letting go?<\/span><\/p><p><span style=\"font-weight: 400;\">Here are a few things to ask yourself when deciding if it\u2019s worth your time:<\/span><\/p><ul><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">How likely is the user to read this?<\/span><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">How prominent is this in the flow?<\/span><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Will this impact user trust?<\/span><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Could this have an impact on our main KPIs?<\/span><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Does this have implications for things later in the flow?<\/span><\/li><\/ul><p><span style=\"font-weight: 400;\">If you do decide to expend your energy, remember to fight fair.<\/span><\/p><p><img class=\"alignnone wp-image-33366 size-full\" src=\"https:\/\/uxwritinghub.com\/wp-content\/uploads\/2022\/12\/8958807534_3c93b45e4c_b.jpg\" alt=\"\" width=\"1024\" height=\"683\" srcset=\"https:\/\/uxwritinghub.com\/wp-content\/uploads\/2022\/12\/8958807534_3c93b45e4c_b.jpg 1024w, https:\/\/uxwritinghub.com\/wp-content\/uploads\/2022\/12\/8958807534_3c93b45e4c_b-300x200.jpg 300w, https:\/\/uxwritinghub.com\/wp-content\/uploads\/2022\/12\/8958807534_3c93b45e4c_b-768x512.jpg 768w, https:\/\/uxwritinghub.com\/wp-content\/uploads\/2022\/12\/8958807534_3c93b45e4c_b-400x267.jpg 400w, https:\/\/uxwritinghub.com\/wp-content\/uploads\/2022\/12\/8958807534_3c93b45e4c_b-150x100.jpg 150w\" sizes=\"(max-width: 1024px) 100vw, 1024px\" \/><\/p><h2><span style=\"font-weight: 400;\">5. Treat other disciplines like you want to be treated<\/span><\/h2><p><span style=\"font-weight: 400;\">The division between designers, writers, and product managers can get pretty fuzzy. You all have the same goal (to create a great product for the user), you just have different areas of expertise to contribute in getting there. It\u2019s important to respect those areas of expertise, especially when you\u2019re first building that relationship.<\/span><\/p><p><span style=\"font-weight: 400;\">I\u2019m not saying you should stick to words and just the words. Instead, treat other disciplines like you want to be treated.<\/span><\/p><p><span style=\"font-weight: 400;\">I want the input of designers and product managers about my text, just like I want to be able to give feedback on the design and product behavior. But I don\u2019t want them to tell me that I should use a comma, or a sentence is phrased incorrectly, or that the word \u201cutilize\u201d is better than the word \u201cuse.\u201d Nothing makes me ignore other people\u2019s opinions faster than when it crosses the line from feedback to editing.<\/span><\/p><p><span style=\"font-weight: 400;\">The same goes for our partners, especially design. If you\u2019re doing a QA, for example, and the design of something looks off, you should absolutely flag that. How you flag it is what matters. Rather than saying something like, \u201cThis notification is off by 5 pixels,\u201d you could say, \u201cThis notification looks off to me. Can you take a look?\u201d<\/span><\/p><p><span style=\"font-weight: 400;\">If you\u2019re working on a draft and find that the design isn\u2019t quite working for you, don\u2019t try to redesign it yourself. Instead, sit with the designer, explain what isn\u2019t working and work with them to design something new. In this way, you\u2019re giving your input and having your voice heard without trying to do their job for them.<\/span><\/p><p><span style=\"font-weight: 400;\">Your job as a UX writer is to write great content that guides the user in their journey. As we\u2019ve discussed, though, achieving that goal is just as much about soft skills as it is about words.
